Lesson 2 of 5

The customer reply

Warm, short, honest about what you still need to confirm.

Write a fictionalised version of a real enquiry, with no customer name or contact details. Ask: “Draft a warm reply in under 120 words. Say what I know, flag what I need to confirm, and do not promise a deadline or a price.”

The flags are the useful part. A good draft will say “I will confirm the delivery date by tomorrow” rather than inventing one, and that is exactly the tone customers trust.

Check every draft against your real prices, stock, policy and tone before you send it. If you would not say it across the counter, do not send it.

  • Fictionalise the enquiry before pasting.
  • Ask it to flag, not to guess.
  • Check against the real business every time.

PIXEL / THE COACH

Short, warm, and honest about what you still need to check. Three things. Customers forgive nearly anything except being managed.

Try it

Draft one reply this way, then turn it into a template with gaps where your own facts go. Future you will be grateful.

A prompt to start from

A customer has sent this: [paste it]. Draft a reply that is polite, specific and does not promise anything the message does not support. Then mark every place I need to add a real fact.

Then paste it into whichever assistant you use — ChatGPT, Claude, Gemini or Copilot. Not sure which? Meet them all.

Check: Why fictionalise the customer enquiry before pasting it?

Ask about this page and we will answer it here, where the next person can read it too.

Nobody else can answer you, and you cannot answer anybody else. This is not a forum — we would rather say that than run a room we cannot watch at three in the morning.

Your question goes up with the answer and without your name. Nothing identifies you, ever.

If we cannot answer it we will tell you why, and that one stays between us.
