Lesson 4 of 5

Your written data rule

One paragraph that keeps you on the right side of the law and your customers.

If you handle customer information, you are responsible for it. General chat tools may store what you paste, have people read it, or learn from it. A business version with a contract is the exception, not the rule.

Write one paragraph today. Say what may be pasted in: your own drafts, generic descriptions, public information. Say what never may: names, contact details, orders, payment or health information, anything about staff. Then say which tool, if any, the business has approved for more than that.

Put it where you and anyone who helps you will see it. A rule nobody has read is not a rule.

  • You are responsible for customer data.
  • Write the rule; do not just intend it.
  • Approved tools only for anything personal.

BEEP / THE MYTH-BUSTER

One paragraph. Written down. Boring. It is the cheapest insurance a small business will ever buy, and it takes less time than the sandwich you are eating.

Try it

Write your paragraph now, then read it against the last three things you actually pasted into a chat tool. This is the uncomfortable bit.

Check: A staff member pastes a customer's order history into a free chat tool to draft an apology. Under a sensible data rule, what went wrong?

Progress is saved on this device.
